How to Securely Bulk-share Links and Bookmarks with Your Team

October 17, 2022

If you’re only using browser bookmarks to store important links for yourself you’re likely also simply sending links individually in various emails or chats to coworkers, hoping everyone saves them in a similar way so you don’t have to keep resending them. That leads to tons of duplication, wasted time, and more frequent mistakes when it comes time to find the right link again. To avoid these problems and increase your team’s productivity, learn how to securely bulk-share bookmarks with your team and reduce headache.

Share with Your Web Browser

Almost every web browser gives you the option to save links and bookmarks to a specific folder on your computer. By going into your browser's settings and clicking export, you can conveniently share everything you've collected with your team. While this method may not always be the most secure, sharing your exported file within a small, private chat or email can quickly get everyone on board.

In fact, your team can even create a shareable spreadsheet where you can manually update links and data. This way everyone has the most recent information at their fingertips.

Use File-sharing Services

Speaking of shareable information, using a file-sharing service such as Google Drive or Dropbox is another safe method for bulk-sharing links and bookmarks.

Because Google Drive and Dropbox uses encryption and other limited account-access features, you can upload all of your links or bookmarks to a single source without worrying about unwanted eyes. The drawback is that you either need to manually upload a single exported list file, or manually insert the links into separate documents and then save and share those documents via the file sharing service. However, in these cases, how to organize them may not be entirely intuitive or effortless but at least you'll have control over what links are shared and the service you're using to distribute them to your team.

Setup Passwords and Expiration Dates for Folder Links

When sharing links from Google Drive or from your personal computer, setting up passwords and expiration dates are a great way to keep your information safe for a limited time.

First, it prevents people from continually checking links and messing with them. Second, if someone shares a link and forgets about it, the password stops anyone from coming across that link unexpectedly. Finally, setting up passwords and expiration dates is for security purposes.

If you are sharing a link on the internet and are worried about hackers finding it, the expiration date will stop them from using that link once the time limit has been reached. The password protects against people who may have access to all of your files and are attempting to view your information.

Many tools and apps offer a password-protection service, such as LastPass or Short.io. Find the service that works for you and start securely sharing folder links.
